Overview

As PA to the CEO, you will be responsible for diary management, personal and business correspondence, travel arrangements and general, day to day business administration. The ideal candidate will be proactive, highly organised, accurate, great at coordinating schedules and skilled at multi-tasking. Confidence, charisma and the ability to remain calm under pressure are essential.

Responsibilities

  • Manage the CEO’s diary and daily priorities, effectively balancing her day-to-day work with the wider demands of her role internally and externally.
  • First point of contact internally and externally for booking meetings, engagements, reservations and press events, ensuring the calendar is kept up to date at all times.
  • Daily communication with the CEO, ensuring that she is presented with an up to date schedule at the end of the day for the day ahead.
  • Organisation and coordination of travel and visa arrangements as required.
  • Proactively prepare the CEO for all forthcoming meetings, ensuring she is briefed in advance and equipped with all relevant materials.
  • Work from the home of the CEO when overseeing domestic private matters such as personal filing.
  • Ensure meticulous attention to detail in relation to filing of business and personal information.
  • Develop and maintain relationships with clients, contacts and press.
  • Liaise with the Latin American Designers as required.
  • Deal with sample requests, liaising with external PR to ensure requests are fulfilled where appropriate.
  • Assist with the organisation and management of trunk shows and events.
  • Filter, manage and respond to incoming telephone calls and emails in a professional articulate manner responding on behalf of the CEO where required.
  • Collate expenses ensuring these are handed over to Finance at the end of each month.
  • Provide support with filing and basic business administration.
  • Any other ad hoc tasks as briefed by the CEO.

Qualifications

  • Recent fashion graduate with at least 1 year’s internship experience or first job involving office administration, ideally for a small fashion brand or fashion business.
  • Understanding of the contemporary fashion market.
  • Professional, positive and polished representation of the brand at all times.
  • Well-spoken with excellent verbal and written English communication skills.
  • Calm and resourceful with the ability to react positively during stressful periods.
  • Discrete and trustworthy with the ability to deal with sensitive information appropriately.
  • Confident character able to liaise with senior people both internally and externally.
  • Dedicated, hard-working and committed individual willing to invest long term.
  • Proficient in MS Word and Excel, DropBox and Calendar management.
  • Flexible to working outside of office hours when required.
